1. Payment

Booking more than 4 weeks ahead - A minimum deposit amount is required to guarantee any reservation. We are unable to hold any reservation without a deposit. The balance for your reservation must be paid 4 weeks prior to your arrival. This can be paid by visiting www.bainland.co.uk or calling 01526 352903. Your deposit is a non-refundable booking fee covering the administrative costs we incur in processing your reservation.

Bookings less than 4 weeks ahead – Full payment by credit or debit card is required at the time of making the reservation must be made at this time. This can either be done online or calling 01526 352903.

Payment confirmation - We will send you, either electronically or by post, a confirmation showing the price for your break and any additional charges. It will also detail payments received and due. Please check the details on the confirmation carefully. If any of the details are incorrect, or change, especially your address, you must inform our Reservations Team as soon as possible. You must also ensure that you pay any amount required in accordance with the confirmation payment schedule. If you do not, we will have the right to cancel your reservation and keep or claim your deposit (as it is a non-refundable booking fee).

2. Changing your booking

Changing your booking - You may change your booking with us for any reason provided the change is made 8 weeks or more before your start date. This is subject to availability and an amendment charge is applicable to cover our administration costs. You may only change your start date once and you must select your new start date within 8 weeks of requesting the change, otherwise the change will be treated as a cancellation and cancellation charges will apply (see below). Please note that any change of date, will be likely to involve a change in price of your break, and the relevant amendment charge being added. The price payable is the greater of i) your original break cost; or ii) the price for your revised break change which applies at the time of your change. No difference will be refunded except where a change of date results in a lower price.

4. Arrival/Departure

Normal check in time is 4pm and check out is by 10am. The option to book an early check in and late check out are available when making your reservation. If you choose this option then you are able to check in from 2pm and check out by 12pm. The use of hot tubs is not available after 10:30am on your day of check out with the late check out service.

5. Accommodation

We do not guarantee individual units, however requests at time of your booking will be accommodated where possible. Your accommodation is provided, clean and serviced on your day of arrival, with your beds made. We would appreciate that your accommodation is left in a clean and tidy manner. with beds stripped on your departure day. Any damage found to items, or in accommodation units will be charged to the customer. All our accommodation is non-smoking. We accept no liability for personal possessions brought on the park by the customer.  Items that are left behind by a guest and are subsequently found, will be kept for a maximum of 14 days (dependant on item) which will then be disposed of or donated to a local charitable organisation.  We reserve the right to enter your accommodation at any time for any reasonable purpose, for example, to make checks, maintenance work or housekeeping. Your occupation is not exclusive. We provide car parking spaces outside or adjacent to accommodation. We do not allow cars to be parked on any grassed area, so additional cars must be parked in the main car park at reception.

Please note; Guests staying in the Glamping Safari Tents & Big Beast Tents do need to arrive prepared during the colder months. Although we provide log burners, oil filled radiators, and camping blankets, we ask guests to bear in mind the outside ambient temperature for that time of year, and bring suitable clothing for such conditions.

6. Charges for Damaged, Misused items and Anti-Social Behaviour 

Where charges apply, the company will always contact the customer before any payment is processed.

Where items are reported as soiled, damaged or missing and are not listed below, these will be considered at the discretion of the Management team.

If you are bringing a pet with you please be aware there is a charge of £20 for any dog foul found after you have a checked out of your accommodation.

7. Wireless Internet Access

Wireless internet access is provided free of charge but is not guaranteed. The facility is not subject to any particular security / filtering measures and requires continuous parental supervision when used by children. We reserve the right to disclose your name and address to our internet service provider if we discover that you or a member of your party illegally downloaded content from the internet or otherwise engaged in unlawful activity whilst using this facility.

8. Guest Behaviour

You are responsible for the behaviour of all members of your party. Behaviour should be in keeping with the family environment and should not be excessive, noisy or disruptive, especially at night and therefore we do not tolerate noise or music after 10pm. Offensive or illegal behaviour will not be tolerated and may result in the Police being involved. Offensive or aggressive behaviour or language towards our staff is not acceptable. We may ask you and/or any member of your party to leave immediately if your conduct results in Police attendance or is considered by us to be inappropriate; likely to cause harm; or impair the enjoyment, comfort or safety of anyone; or is likely, in our belief, to breach any of this agreement. No refunds or compensation will be given in these circumstances and we reserve the right not to accept any future bookings from you or any member of your party.

We do not encourage large noisy single sex parties due to the quiet and relaxed nature of the park.

If you still wish to make a booking for a large single sex party please speak to our staff in advance. We can accommodate those genuinely looking for a quieter getaway.

9. Guest Safety

Children under the age of 16 must be supervised at all times by an adult, including the use of all facilities. Under 16s must also be supervised by an adult whilst using the swimming pool. A maximum speed limit of 10mph must be adhered to whilst driving onsite. Guests using bicycles are also asked to take into consideration the movement of other guests and children on the park. For accommodation with hot tubs, we ask that guests adhere to the safety and instruction information given on check in. We accept no responsibility for guests using their hot tub outside of these guidelines.

10. Pets

Pets are allowed in specified pet friendly accommodation units for an additional charge. Pets must be kept on a lead at all times whilst on the park. All fouling must be removed and placed in the nearest dustbin. Pets found in accommodation units, that were not accounted for at the time of booking will be charged the relevant fee. Pets found in non-pet friendly accommodation will required to be removed from the unit, and a relevant deep clean charge must be met by the customer following on from this.

11. Circumstances beyond our reasonable control.

In very rare cases, we may not be able to provide you with accommodation despite you having made a booking, for reasons beyond our reasonable control. This might include, by way of example only; where our site is affected by severe adverse weather conditions (such as flooding) or where Government measures require or advise us not to accommodate you (such as in the event of an epidemic or where we have reason to believe that you pose a risk to staff or other guests). In such circumstances, we will be entitled to cancel your booking forthwith as per paragraph 3 above.

12. Covid 19 - The Bainland Guarantee.

If the Government places the country into a national lockdown . Your booking can be transferred to a new date in 2021 or 2022. Any price increase will have to be met by yourself, or in the case of a price reduction - Bainland will refund the difference.

Your funds can be held in a pending transfer account, which can then be transferred to another booking when a suitable date is found in 2021 or 2022.

A full refund less a small insurance fee* - which is set out in the Bainland Guarantee, found in your original booking confirmation email.

*Breaks that are due to commence in the next 4 weeks will only be offered a date change or pending transfer account.
