1. Bookings
To make a booking, visit our website at www.bainland.co.uk or call our Reservations Team on 01526 352903.
For bookings more than 4 weeks ahead, a minimum 10% deposit, depending on the size of your lodge, is required to guarantee your reservation. This deposit is non-refundable. We are unable to hold a reservation without a deposit. The balance for your reservation is due 4 weeks prior to your arrival. We will send you a secure payment link with the details when this due.
For bookings less than 4 weeks ahead, full payment by credit or debit card is required to guarantee your reservation. We will send you a secure payment link at the time of your booking to confirm your stay.
2. Payment Confirmation
Payment confirmation and details of your booking will be emailed to you. Please check the details on the confirmation carefully. If any of the details are incorrect, or have changed, please advise our Reservations Team as soon as possible. Please ensure that you pay any amount required in accordance with the confirmation payment schedule. Failure to do so could result in the cancellation of your booking and the forfeiting of your deposit.
3. Changing your booking
Bookings can be changed for any reason, subject to availability, provided the change is made at least 8 weeks in advance of your arrival date. You can choose to change the date of your booking immediately, or you can place your booking into a pending transfer account whilst considering new dates. Your pending transfer can then be moved along with any funds or deposit already paid, once new booking dates have been confirmed. This needs to be within 12 months of the date of your original booking.
You may only change your booking once, and you must select your new arrival date within the time period set out above. Bookings held beyond this date will be treated as a cancellation and the non-refundable booking fee to cover administration costs will be charged (see table below).
Please note that any change of date may involve in a change in the price of your stay depending on rates, availability and the size of the lodge at the time of booking. The price payable is the greater of i) your original break cost; or ii) the price for your revised booking which applies at the time of your change.

5. Check In / Arrival
When arriving at Bainland Lodge Retreats, please do come to the reception at Main Lodge to check in and receive your welcome information, keys and map. Check in to your accommodation is at 4pm. You are however welcome to arrive earlier should you wish to use our facilities including our restaurant, play areas and bookable activities. There is the option to book an early check in to your accommodation from 2pm. Please indicate this on your online booking form or request this of our Reservations Team.
6. Check Out / Departure
When departing Bainland Lodge Retreats, please do return your keys to reception at Main Lodge. Check out of your accommodation is at 10am and your hot tubs will be drained at 8am on the day of departure. You are however welcome to use our facilities including our restaurant, play areas and bookable activities. We do ask however that any vehicles are moved from your lodge to the main car park at the time of check out. There is the option to book a late check out of your accommodation at 12pm with hot tubs drained at 10am. Please indicate this on your online booking form or request this of our Reservations Team.
7. Accommodation
Your accommodation is cleaned and serviced on your day of arrival. Beds will be made and towels, bathrobes and slippers are provided. Hot tubs are drained, cleaned, refilled and heated prior to every stay. Our team of trained staff test the quality of the water in your hot tub every day so please don’t be alarmed if you see our technicians tending to your hot tub in the morning and afternoon as they do their daily rounds.
On departure, we request that you fill and set off the dishwasher, empty the fridge and freezer of all food items, take all your rubbish to one of our bin compounds (these are marked on our Welcome Map) and if you have any pets staying with you, do ensure that you have picked up after them. Please leave any robes and towels behind to avoid unnecessary charges. You are however welcome to take the slippers home with you.
Smoking is not allowed in any of our lodges or tents. We accept no liability for personal belongings, these are your responsibility during your stay with us. Items that are left behind and subsequently found, will be kept for a maximum of 14 days (dependant on item) after which they will be disposed of or donated to a local charitable organisation.
Please note: Guests staying in our Glamping Safari Tents & Big Beast Tents do need to arrive prepared during the colder months. Although we provide log burners, oil filled radiators, and camping blankets, we ask guests to bear in mind the outside ambient temperature for the time of year, and bring suitable clothing for such conditions.
8. Parking
We provide car parking spaces outside or adjacent to each accommodation. We do not allow cars to be parked on any grassed area, so additional cars must be parked in the main car park at reception. Vehicles parked on our property are subject to very limited security cover. You must lock your vehicle securely and remove all valuable items on parking.
9. Damages
Please let our reception team know if anything has been damaged or broken in your accommodation prior your departure. We understand that sometimes accidents happen and occasionally items do get damaged or broken. Where applicable, and where unreasonable damage is found in or around your accommodation, charges may apply. By agreeing to our terms and conditions, you accept that charges may be applied to the lead booker’s account within 48 hours of departure.
Where items are reported as excessively dirty, damaged, misused or missing and are not listed below, charges will be considered at the discretion of the Management Team.

10. Wireless Internet Access
Wireless internet access is provided free of charge but is not guaranteed. The facility is not subject to any particular security / filtering measures and requires continuous parental supervision when used by children. We reserve the right to disclose your name and address to our internet service provider if we discover that you or a member of your party illegally downloaded content from the internet or otherwise engaged in unlawful activity whilst using this facility.
11. Guest Behaviour / Our Quiet Policy
Please be considerate during your stay with us. Bainland Lodge Retreats is a family friendly park and we ask that you respect this as well as our environment. The lead booker is responsible for the behaviour of all members of the party. Our Quiet Policy means that we will not tolerate excessively noisy or disruptive music or celebrations after 10pm.
Offensive or aggressive behaviour or language towards our staff is not acceptable. Offensive or illegal behaviour will not be tolerated and may result in the Police being involved. We may ask you and/or any member of your party to leave immediately if your conduct results in Police attendance or is considered by us to be inappropriate; likely to cause harm; or impair the enjoyment, comfort or safety of anyone; or is likely, in our belief, to breach any of this agreement. No refunds or compensation will be given in these circumstances and we reserve the right not to accept any future bookings from you or any member of your party.
Whilst we do not encourage large noisy single-sex parties due to the quiet and relaxed nature of the park, we can accommodate single-sex groups genuinely looking for a quieter getaway. If this is the case, please speak to our staff in advance.
12. Guest Safety
Children under the age of 16 must be supervised at all times by an adult, including when using any of the facilities, including the swimming pool, or participating in activities.
A maximum speed limit of 10mph must be adhered to whilst driving onsite. Guests using bicycles are also asked to take into consideration the movement of other guests and children.
Please read, and adhere to, the health & safety instructions prior to using the hot tubs. This information is available at check in, in our welcome app and displayed in signs near the hot tubs. We accept no responsibility for guests using the hot tubs outside of these guidelines.
We don't knowingly allow any guest to use or visit Bainland Lodge Retreats who is: (1) a convicted sex offender or violent offender, is subject to the notification requirements of the Sexual Offences Act 2003, is subject to a any Risk Order or a Child Abduction Notice, or has an entry on the Sex Offenders Register or any criminal register, (2) has a record of violence, abuse, anti-social behaviour, criminal damage or public disorder. If this is not disclosed at the time of booking and we are made aware, or become aware, of you or a member of your party being subject to any of the above, we reserve the right to require you and the other members of your party to leave immediately and without refund.
13. Dogs / Pets
Dogs and other pets are welcome at Bainland Lodge Retreats and there are a number of pet friendly lodges and tents available. Pets can only be accommodated in our specified pet-friendly lodges, at an additional charge. Pets must be kept on a lead at all times whilst on the park. All fouling must be removed and placed in the nearest bin. Pets found in accommodations that were not accounted for at the time of booking will be charged the relevant fee. If pets are found in non-pet-friendly accommodations, guests will ask to be removed and an Accommodation Deep Clean charge will be applied to the booking.
14. Circumstances beyond our reasonable control.
In very rare cases, we may not be able to provide you with accommodation despite you having made a booking, for reasons beyond our reasonable control. This might include, by way of example only; where our site is affected by severe adverse weather conditions (such as flooding) or where Government measures require or advise us not to accommodate you (such as in the event of an epidemic or where we have reason to believe that you pose a risk to staff or other guests). In such circumstances, we will be entitled to cancel your booking, and will offer options to move your booking to an alternative future date.
